Guide for Paper Submission

Special Notes

• Please be informed that the date of issue of the Conference Proceedings is August 20th. The information will be needed when you apply for a patent.
• We will notify all the participants of the website to download the Conference Proceedings. Any CD-ROMs will not be provided.
• Presenters will be required to make a registration for participation besides the registration for presentation. The period of early-bird registration will be from July 5th to August 5th.
• A NEW English poster session will be held in the 2019 Annual Conference of Fundamentals and Materials Society (Society A), IEEJ, in addition to a Japanese poster session. We strongly recommend that you have the opportunity to give a technical presentation in English.

Cancellation policy

In case that the Conference is canceled

【Refundable subject】

• Banquet fee (refund via bank transfer)

• Manuscript submission fee
• Participation fee

【Terms】

• The executive committee may decide to cancel the conference, if there are any risks that the participants may be in danger.
  1. A special weather warning or storm warning is issued.
  2. A large-scale disaster is occurred.
  3. In case of emergency.
• The cancellation of the conference is judged by the day; therefore, even if the first day is canceled, it may be held after the second day.
• The paper you have submitted is considered to be presented and published with the release of proceedings data (for downloads).
• Even if the conference is shortened or canceled, it will be deemed to have been held for all dates, and we have no discount on the price of the participation fee.
• Participation fee will be charged to no-shows during the conference period.
• If the banquet is canceled, the banquet fee will be refunded in full (refund via bank transfer).
  ※Participation fee may be waived for person recognized by executive committee such as invited speakers.

In case of absence because of personal reasons

If you cancel your presentation because of personal reasons (Including the case that you fail to come to the conference because the operation of the transportation is suspended), participation fee will be charged as the paper you have submitted is published with the release of proceedings data. We will notify you of the website to download the Conference Proceedings as well as other participants.

• Paper Category I, single page paper

• Paper Category IV, single-page paper, for poster presentation by young researchers, Presenters should be 25 years or younger at the time of conference presentation

• No papers consisting of 2 to 5 pages or 7 pages and more are acceptable.
• The file size of submitted paper should be less than 3 M bytes.
• Presenters in YPCE are required to submit a paper in English.

About poster session (common to all fields, Paper Category IV) by young researchers

The previous poster session in Japanese was called Young Poster Competition (YPC) and awards have been given to excellent presentations by young researchers. From the 2019 Annual Conference of Society A, we will organize Young Poster Competition in English (YPCE), as well as Young Poster Competition in Japanese (YPCJ). Awards will be given to excellent presenters in both sessions.

How to submit your paper

Those who submit Paper Category I, II or IV

Firstly, you should get the application number and password after application of presentation through this web site, then your paper can be uploaded for your submission.
Submitted abstract will be on the conference program. Please submit your abstract, too.

Those who submit Paper Category III

   Firstly, you should get the application number and password after application of presentation through this web site, then your paper can be uploaded for your submission.
   Your abstract will be published on the conference program, so it should be submitted by the web site.
2. Procedure 2: Before submission to the IEEJ Transactions, please carefully read and follow the Author’s Guidelines for the Transactions of the Institute of Electric Engineers of Japan (http://denki.iee.jp/?page_id=5979).Submission to the IEEJ Transactions should be made on the IEEJ Paper Management System (https://submit.iee.or.jp/main/cgi/sstk-top.cgi).Please choose“Special issue on the annual conference”to be published in IEEJ Transactions on Fundamentals and Materials (A).
